Protecting your private information is our priority. This Privacy Policy applies to formvoxo and governs how we collect, use, and share information when you use our website, dashboard, APIs, and form submission services (collectively, the “Services”).
We need to process personal information to operate the Services. By creating an account or using the Services, you confirm that you have read this policy. If you do not want us to process your information as described here, you should not use the Services.
By using the Services, you acknowledge that formvoxo may process your information in the United States and other countries where we or our service providers operate. Privacy laws in those locations may differ from those where you live. Where required, we take steps designed to ensure appropriate safeguards for international transfers.
Collection of your personal information
formvoxo may collect and store personal information such as your name, email address, and account credentials. If you purchase paid plans, billing information may be processed by our payment providers; we do not store full payment card numbers on our servers where avoidable.
When you operate forms through formvoxo, we process submission data you configure, including field values visitors submit, IP addresses, timestamps, and related metadata, on behalf of your account. You control what fields your forms collect; you are responsible for informing your visitors and obtaining any required consents.
We may automatically collect technical information such as IP address, browser type, device identifiers, access times, and referring URLs. We use this information to secure the Services, prevent fraud, enforce rate limits, maintain quality, and understand usage patterns.
We encourage you to review privacy practices of websites that link to formvoxo or embed your forms. You agree not to use formvoxo to collect sensitive personal data (such as government IDs, full payment card numbers, or health data) unless you have a lawful basis and appropriate safeguards. formvoxo is not responsible for third-party sites or for Customers’ misuse of the submission pipeline.
Use of your personal information
formvoxo uses personal information to:
- Provide, maintain, and improve the Services;
- Authenticate users and administer accounts;
- Deliver email notifications (including new submission alerts via AWS SES);
- Process support tickets and respond to inquiries;
- Enforce package limits, spam protection, and security controls;
- Comply with legal obligations and protect our rights.
We may contact you about service-related messages (verification, password reset, security alerts, billing, and support). Marketing messages, if any, will include an unsubscribe option where required by law.
formvoxo does not sell your personal information. We do not rent or lease customer lists to third parties for their independent marketing.
Choice and control
Depending on your location, you may have rights to access, correct, delete, or port personal information we hold about you, or to object to or restrict certain processing. You can update profile information in account settings, export submissions from the dashboard where your plan allows, and request account deletion from account settings or by contacting us.
Closing your account may not immediately free your email address for reuse. We may retain certain records as described in the Retention section below.
Use of cookies and similar technologies
formvoxo uses cookies and similar technologies to keep you signed in, remember preferences, protect against abuse, and understand how the marketing site and dashboard are used.
Cookies are small text files stored on your device. Session cookies support authentication (including JWT session cookies for the dashboard). You can configure your browser to refuse cookies; some features may not work without them.
Information uses, sharing, and disclosure
We rely on one or more legal bases to process information, including: performance of our contract with you (our Terms of Service); your consent where required; compliance with legal obligations; and our legitimate interests in operating, securing, and improving the Services.
Service providers
We engage trusted providers to help us operate the Services, for example hosting infrastructure, email delivery (AWS SES), and security monitoring. They access information only to perform tasks on our behalf and are obligated to protect it.
Legal and safety
We may disclose information when we believe in good faith that disclosure is necessary to comply with law, court order, or legal process; protect the rights, property, or safety of formvoxo, our users, or the public; or investigate fraud, spam, or security incidents.
Business transfers
If formvoxo is involved in a merger, acquisition, or asset sale, user information may be transferred as part of that transaction, subject to continued protection consistent with this policy.
Aggregated information
We may share aggregated or de-identified information that cannot reasonably identify you.
International data transfers
formvoxo provides a voluntary service available globally. To deliver the Services, we may transfer personal information to the United States and other jurisdictions where we or our processors operate. We cannot provide the Services without such transfers where infrastructure is located abroad.
Security of your personal information
formvoxo uses administrative, technical, and organizational measures designed to protect personal information from unauthorized access, use, or disclosure. These include HTTPS for dashboard and API traffic, hashed passwords, httpOnly authentication cookies, role-based access controls, honeypot and rate limiting on public form endpoints, and optional domain whitelisting.
No method of transmission or storage is completely secure. You are responsible for safeguarding your account credentials and for configuring your forms appropriately. See our Security page for an overview of product controls.
Retention
We retain personal information only as long as necessary for the purposes described in this policy, including while your account is active and as needed to provide the Services.
We may retain information longer when required to comply with legal obligations (such as tax or accounting rules), resolve disputes, enforce agreements, or maintain security logs. When you delete your account, we delete or anonymize personal information subject to these exceptions.
Submission data is retained according to your account status and our data retention practices; you may delete individual submissions or forms from the dashboard where available.
Children under thirteen
formvoxo does not knowingly collect personal information from children under 13. If you are under 13, do not use the Services. If you are under 18, use the Services only with a parent or guardian’s permission.
Notice to California residents
If you live in California, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know categories of personal information collected, the right to request deletion (subject to exceptions), and the right not to be discriminated against for exercising privacy rights.
formvoxo does not sell personal information as defined under the CCPA. When we process submission data on behalf of a Customer’s website, the Customer’s site is generally the business responsible for that data; California residents may need to exercise some rights directly with the website they interacted with.

Your responsibilities as a form operator
If you use formvoxo to collect data from your website visitors, you are responsible for providing a clear privacy notice on your site, obtaining any required consents, and handling data subject requests for the information you control.
You may receive personal information (such as names and email addresses) in submissions. Use that information only for purposes your visitors expect; do not add visitors to unrelated mailing lists without consent. You are responsible for unauthorized disclosures caused by your configuration or misuse.
If you and formvoxo are found to be joint controllers of certain data and formvoxo incurs expenses because of your processing, you agree to indemnify formvoxo as described in our Terms of Service.
Withdrawing consent
Where we rely on your consent, you may withdraw it at any time by closing your account or contacting us. Withdrawal does not affect processing that was lawful before withdrawal. Some processing is necessary to provide the Services and cannot be withdrawn without stopping use of the Services.
Opt-out and unsubscribe
You may opt out of non-essential marketing emails by using the unsubscribe link in those messages or by contacting us. Service-related emails (security, billing, verification, support) may still be sent while you maintain an account.
Changes to this policy
We may update this Privacy Policy to reflect changes to our practices or legal requirements. We encourage you to review this page periodically. Material changes may be communicated by email or notice in the dashboard.
